Subject:(11) Administration---Notification Required When Changing Parts

When changing parts in a work order that has previously been committed, you must notify the Purchasing department. The notice should be given in writing. E-mail is sufficient; however, if you choose to use e-mail, print a hard copy and place it inthe Engineering file for record. Further, if the change occurs within 7 calendar days prior to the start date of the equipment you also must notify the appropriate Warehouse (appropriate being the Warehouse in the Plant in which the equipment is to be built). This notification should be by telephone and in writing, so as to let the Warehouse Personnel know as soon as possible so as to avoid pulling the wrong parts. Obviously, use common sense. If you are only changing a relay or filter quantity for example, this is not necessary.
