Subject: (7) ADMINISTRATION—CREATING NEW SUBBILLS

The subbill system which we use to create bills of material is intended to be a time saver. The shorter the list of subbills remains, the less time it takes to find the required subbill. Over the course of time, many subbills have been added to the list. Some are valid additions, while others only serve to clog the system.

Before creating a new subbill, ask yourself the following:

Will the subbill I am creating ever be used again? If so, how often?

If the usage is infrequent, the subbill creates more work (by causing everyone using the system to scan through it and others like it) than it saves.

Creating an E1BXXXXXXX or E1EXXXXXXX for a one-time use clogs the subbill system. If you would like to group parts in a subbill for one-time use, create an E1UFOFOXXX where FOFO is the factory order number, and XXX is a sequential number. I would suggest starting with XXX=099, and working backward (098, 097, 096 etcetera).

It is my intention to "clean up" the subbill system so as to make it more user friendly. From time to time, the project engineers will receive a list of subbills for suggested elimination. If any of the engineers has a reason for keeping any of these subbills, they should let me know. Otherwise the subbills on the list will be "obsoleted" from the system.

I have heard comments to the effect: "I don't use the subbills. They're not accurate." The intent of this directive is to help make the subbills accurate so that they are once again reliable and make the job of writing a bill of material easier.
