Subject: (1) ADMINISTRATION—ENGINEERING UNIT MASTER FILE—REVISED
A new file has been created in the Basic-4 system. It's purpose is to search for and locate information about previously built units. As we build a data base, we will be able to search for previously built units by inputting various parameters such as airflow, tonnage, unit height, number of compressors, customer, type of heat, etcetera. This will, of course require a uniform effort on the part of the project engineers.
Some guidelines:
Darlene will input the unit information when she receives the bill of lading indicating that the unit has shipped. As of now there are 34 fields that will be input for each unit. Three of those fields will be indicated by the project engineer. They are: unit configuration, controls manufacturer and control model number. This information should be listed for each unit, on the Activity Log in the job file.
Currently, the unit configuration includes the following:
AH—AIR HANLER
CL—CLASSIC
CU—CONDENSING UNIT
DP—DUAL PATH
DR-DUAL RETURN
DW—DESICCANT
MZ—MULTIZONE
OA-100% OUTDOOR AIR
RA—REVERSE AIR FLOW
SP—SINGLE PATH(SUPERMARKET)
SZ-SINGLE ZONE (CUSTOM)
TD—TRIPLE DECK MULTIZONE
Indicate the unit configuration on the Activity Log in the job file by using the codes above. If the unit does not apply to any of the codes listed, create an appropriate new code, and add it to the list.
The other items to be included on the Activity Log are the control manufacturer and control model number. For example, the control manufacturer will be listed as Honeywell, EIL, Johnson, CPC, Novar, etcetera. The model number will be listed as DX-9100, W7080, EC-1000, etcetera. If the controls are by others, and we know what they are, they should be listed. If the controls are by others, and we don't know what they are, then "Controls by Others" should be indicated on the activity log.
This procedure is effective immediatly. The hope is to build a database that will make it easier to locate units that we have already built so that we can re-use unit cabinets and components. The data base will also help locate units that fit a certain type. For example, we will be able to locate all units that have 30,000 to 31,500 CFM, gas heat, forward-curved fans and are dual path construction. The search may be performed on any or all of 34 unit parameters. This will help to reduce the amount of engineering time by allowing us to replicate units.
